RULES & REGULATIONS for VENDORS

The booth must feature artwork or handmade crafts which the artists themselves have made. Selling manufactured or commercial products (except prints, cards, or products from original artwork) is prohibited.

2. The artist shall balance original artwork, limited edition prints, and cards or other products based on the original artwork.
​​
3. Artists must be present in the booth throughout the official hours of the Festival. Exceptions can be made by contacting the MCAF team before the event.
​​
4. Upon request, MCAF's volunteers shall be available for short breaks throughout the day.
​​
5. The size of a booth is 10’ X 10’. A space of 7ft should be observed between every six booths. Each booth space will be labelled and marked.
​​
6. Booth's appearance is a significant concern. Good presentation helps stimulate sales.
​​

8. Do not block emergency access at any time.
​​
9. Please DO NOT set up until you have checked in and confirmed your space with the MCAF organizers (found at the MCAF booth or around the Peace Plaza grounds).

10. Please be prepared for various weather conditions; remember to bring appropriate tent weights.​ ​​​
​​
11. Requests for tables and chairs are limited and will be filled in the order they are received. We will do our best to fulfill your requests.

12. Intentional damage to and/or destruction of Peace Plaza property, including greeneries, is strictly forbidden.
​
13. All artists participate in MCAF, and their artwork is subjected to be photographed and videographed for publicity purposes.

TEACHING ARTISTS (TA's) & DEMO ARTIST
​
1. As a Teaching Artist (TAs), please set aside time during set up to collect requested materials at the MCAF booth. (No materials will be provided for demos.)
2. If you are a TA, please send your completed materials list to the MCAF team within a timely manner if you are requesting items be supplied for your TA activities.
​
3. TA's and Demo artists will be provided a stipend (indicated in the signed contract packet given at sign up) for providing a pre-approved art activity that the attending public can take part in for the entire duration of MCAF.

FOOD VENDORS
​
1. Electricity is provided in limited areas. All electrical needs must be requested by email, along with the Voltages required. Vendors shall bring their own extension cords. Electricity is limited and on a first-come, first-served basis.
2. Although the Festival will provide security, exhibitors are responsible for any loss, theft, or damage to their work and/or personal property while setting up, participating in, and taking down their work and materials during the festival. MCAF does not provide insurance for damaged or stolen goods.

3. Cancellations must be in writing. Fees are NOT refundable.
​
4. Each exhibitor must comply with all festival policies and procedures as well as city, state, and federal laws. Med City Art.
​
5. Festival reserves the right to make a determination on any of the above policies and procedures.
​
6. All exhibitors must comply with Minnesota statutes with an MN tax ID number and an Operator Certificate of Compliance (ST-19 or W-9) for 2025. You must file with Med City Art Festival administrators. You may register by phone for a Sales Tax Permit by calling 651-282-5225, fax completed forms to 651-556-5155, or go to www.taxes.state.mn.us. For ST-19, go to the website, click on Forms and Instructions, and scroll down to the bottom of the alphabetical list to ST-19. Call 1-800-829-4933 if you need a Federal Tax ID Number.
